La posizione è inserita nella funzione di Brand Identity & Corporate Experience e ha i seguenti obiettivi
- Ottimizzazione della gestione di tutti i viaggi di lavoro e dell’hospitality
- Organizzazione degli aspetti logistici di eventi corporate e del Global Exchange Program
La sua mission è quella di garantire il benessere dei dipendenti viaggiatori, sia durante i viaggi di lavoro, che durante gli eventi corporate, assicurando il rispetto della travel policy interna.
Dovrà gestire tutti gli aspetti relativi ai viaggi dei dipendenti e all’hospitality, garantendo esperienze di viaggi efficienti in termini di qualità-prezzo, per i dipendenti di tutte le sedi Vibram nel mondo.
Sede di lavoro: Albizzate (VA)
**Job**
- Gestire dell’intero processo organizzativo di prenotazioni (biglietteria aerea, treni, strutture alberghiere, noleggio auto in loco, emissione documenti di viaggio ecc.) valutando e scegliendo le soluzioni migliori in base alle esigenze di ogni funzione aziendale e alle policy interne
- Gestire cambi di prenotazione, avendo cura di assicurare sempre le policy interne
- Supervisionare i documenti di viaggio necessari e, eventualmente, fornire supporto ai viaggiatori in caso di emergenza
- Scouting di nuovi fornitori, ai fini di stipulare nuovi accordi e convenzioni nelle locations dove Vibram è presente, così da ottenere vantaggi nel rapporto qualità/prezzo
- Fornire assistenza ai dipendenti in trasferta, assicurandosi che gli stessi siano a conoscenza delle linee guida in materia di salute e sicurezza e, in caso di problematiche, porsi come intermediario tra le parti al fine di salvaguardare il benessere dei dipendenti e dell’azienda
- Supporto ai dipendenti per la gestione burocratico-amministrative dei visti di viaggio
- Contribuire all’aggiornamento della travel policy interna e assicurarsi che venga rispettata dai dipendenti viaggiatori
- Raccogliere periodicamente i feedback dei viaggiatori, così da adottare un approccio strutturato volto a migliorare il processo di travel management
- Creare reportistica periodica sui viaggi aziendali, al fine di analizzare statistiche utili per la redazione di un budget plan, per il monitoraggio delle spese e l’ottimizzare dei costi
- Coordinarsi con il team organizzativo del Global Exchange Program al fine di allinearsi nella gestione operativa degli aspetti logistici (voli, mezzi di trasporto locali o noleggio auto, prenotazione hotel, ristoranti ecc ) per i colleghi partecipanti al Global Exchange Program
- Suggerire processi di miglioramento, individuare nuovi fornitori e iniziative cost-saving in tema di viaggi e hospitality, garantendo un servizio efficiente in tutte le locations dove Vibram è presente
- Assicurarsi che le attività relative a viaggi e hospitality siano allineate con i valori aziendali e con gli obiettivi di sostenibilità
- Coordinare l’accoglienza degli ospiti presso le Guesthouse interne
- Supportare la gestione della manutenzione dei veicoli aziendali in pool (prenotazione auto, gestione cambio gomme, assicurazione, controllo periodico interventi di manutenzione, revisione veicoli )
- Partecipare, insieme alle funzioni di riferimento, alla progettazione degli eventi interni (quali, ad esempio, i global sales meetings, i global marketing meetings ecc ), così da definire tutti i dettagli e il budget necessario per l’organizzazione
- Scouting, proposte e successiva definizione della location, in accordo con le funzioni aziendali coinvolte, sulla base delle direttive, del budget e degli obiettivi discussi in fase di preliminare di progettazione
- Scouting, proposte scelta dei fornitori (catering, audio-video, allestimenti, aspetti tecnici ecc ), negoziando i contratti col supporto della funzione Purchasing, sempre in linea con il budget stabilito
- Gestire i trasporti per i colleghi (italiani e stranieri) coordinando i mezzi e gli orari
- Supervisionare il catering, gli allestimenti, gli aspetti tecnici (audio-video, illuminazione ecc ) assicurandosi che tutto funzioni in coerenza con le esigenze dell’evento
**Skills**
- Preferibile diploma in discipline del Turismo/Hospitality, Economiche o Umanistiche
- Conoscenza fluente della lingua inglese e preferibilmente di una seconda lingua straniera
- Ottimo utilizzo degli applicativi Office e dei tools per la prenotazione di voli, hotel
- Esperienza pregressa di circa 2-3 anni maturata presso agenzie di viaggi o come travel specialist interno, o corporate travel planner o hospitality coordinator
